The four cost buckets
| Bucket | What it covers | Where costs surprise you |
|---|---|---|
| Licence / subscription | Per-user or per-module fees | Extra modules, API access, more users |
| Implementation | Configuration, data migration, integrations | Often the largest line in big suites |
| Customisation | Making it fit your process | Every change request |
| Training & change | Teaching staff, adjusting habits | Underestimated; adoption decides success |
When to buy a suite
If your processes are standard, you have an IT team, and you value an established vendor ecosystem, a suite or a mid-market product (Odoo, Zoho, ERPNext and others) can be a good fit.
When a lean build wins
- You run on spreadsheets and paper and need only 3–4 modules now.
- Your process is unusual (job-work, batch tracking, multi-brand).
- Mobile-first shop floor use matters.
- You want to own the code and data and avoid per-user fees.
Case: a manufacturing plant received a complete process-automation ERP with a mobile app for $650. The scope was deliberately focused, which is how lean delivery stays affordable. See the full guide and our ERP solution.
A quick decision rule
- List the five processes that cost you the most time or money.
- Check whether an off-the-shelf tool covers at least 80% without heavy customisation.
- If not, scope a lean build for those processes first.
- Pilot on one team before rolling out.
- Plan monthly support.
A three-year comparison framework
| Cost line | Suite or SaaS ERP | Lean custom ERP |
|---|---|---|
| Year 1 set-up | Licence + implementation + data migration | Build for chosen modules |
| Years 1–3 recurring | Per-user or per-module fees | Hosting + support plan |
| Change requests | Billed per customisation | Included in support hours or quoted |
| Exit cost | Data export limits, switching pain | You own code and data |
Fill the table with real quotes from each side. The cheapest option is the one that fits your process with the fewest paid changes over three years.
Signs you have outgrown spreadsheets
- Stock figures differ between people.
- Orders are lost in chat messages.
- Month-end takes days.
- Nobody can tell what is pending approval.
- Owners cannot see daily output without asking.

Frequently asked questions
Is custom ERP always more expensive?
No. For focused scopes it can be cheaper than licences plus implementation of a large suite, but a sprawling custom build can cost more. Scope discipline decides.
Do you integrate with Tally or QuickBooks?
Usually yes through exports or APIs.
